How we use your personal data
Customers and enquiries

If you’ve made an enquiry with us, or become a customer of ours, we will collect essential data such as your name, email address, address and information about your business, charity or organisation. We will only store information that you willingly give us and that is essential for us to carry out our services to you. This is used in the following ways:

  1. – To allow us to carry out our service to you, for example the creation of your video or animation (or any other service we offer in the future)
  2. – For usual business activities such as sending quotes and invoices to you
  3. – To send general (non-marketing) emails to you for the purpose of communication and fulfilling our services to you
  4. – For dealing with enquiries and complaints
  5. – With your permission, we may also share any video content we create for you, or photos taken on the shoot, on our website and social media pages. We will always discuss this with you first.

We will keep your data for 7 years from the end of the tax year in which your last project with us is completed. This is in accordance with HMRC requirements, but also comes in handy if you come back to us for further videos!

If you request an additional service with us (such as a voiceover or drone footage), your data may be shared with the relevant subcontractor or freelancer so they can communicate with you and carry out the service to you. We will only share the data that is required for this purpose.

Email Newsletters

We use MailChimp for our email newsletters. MailChimp offer a range of features that protect you and your data, including requiring a double opt in (so we can be sure that no one else is using your email address to sign up). You will only receive the newsletter if you give us consent by signing up to receive it, and then click the link in the confirmation email we send. You can unsubscribe at any time by following the link in any of our newsletter emails.

Analytics

We use Google Analytics to track visitors to our website and store general information including pages visited and the time spent on our website, as well as your geographical location and information about your computer and browser type. This data may be processed for the purposes of analyzing the use of and improving this website and our services.

Cookies

Our website uses cookies. A cookie is a small file sent from a web server to your browser when you visit a website. It is then stored by your browser and sent back to the server each time the browser requests a page from the server. This has many functions including allowing you to resume your browsing where you left off or remembering your preferences. They are also used for Analytics (as described above). Typically, no identifying information is stored.

You will see a cookie pop up when you first visit our site, which gives you the option to accept our use of cookies. You can delete or block these cookies, but doing so may mean that some features of our website may not work as intended.

What else might my data be used for?

Nothing else! We promise to only ask for and keep the data we need to fulfil any services you request from us, whether that be a video, an animation or an email newsletter. Your data will not be shared with anyone else except where required by law.

Where do we keep your data?

Our website is hosted by Green Hosting and any emails you send directly or through our website contact page are sent by Green Hosting to our Gmail (Google) account. Any data you provide to us in emails will be kept within our Gmail account, which is password protected and uses 2 step verification to ensure no logins can occur from unknown devices. Some of this data may also be kept locally on a password protected computer and in Apple iCloud storage, which is password protected with Two Factor Authentication (which ensures that no one can login from an unknown device).

We also keep other data such as information about your business or charity, including scripts we’ve written for you and project briefs, locally on our computer. This is also password protected.

You have the right to request to see, change, update or delete any data we hold about you. Just get in touch and ask!

Changes to this policy

We may change this policy from time to time. This is nothing to worry about, but do check back occasionally to make sure you are happy with any changes. If we make any major changes, we will notify our customers, potential customers and email newsletter subscribers by email.
